When do you actually start charging?

When your new site goes live on your domain. Until then - site rebuild, content review, DNS migration, member roster import - it’s all free. Once your members are using the new site, $99/month begins. No setup fees, no migration fees.

Does the price include Stripe transaction fees?

Accepted Answer

Veldun does not add any surcharge to your payments. Stripe’s standard processing fee (2.9% + 30¢ per transaction) applies when you collect dues or event payments. That fee goes to Stripe, not to Veldun.

What counts as a ‘billable contact’?

Accepted Answer

Billable contacts = memberships + event attendees from the last 12 months + any newsletter-only subscribers above the free multiplier. A household membership counts as one billable contact no matter how many people it covers - a family of five costs the same as an individual. An individual membership and a non-member event attendee each count as one. Newsletter-only subscribers (people on your newsletter list who aren’t members and haven’t registered for events) are free up to 3× your member count. Archived, cancelled and deleted records never count.

How do family or household memberships count?

Accepted Answer

One household membership counts as one billable contact, however many people it covers. A family of five - two adults and three children - costs the same as a single individual member, and that holds whether or not each person has their own login, gets the newsletter, or registers for events. Most membership platforms bill per person, so a community of 90 families pays for 300-odd contacts; on Veldun it pays for 90.

Do people who came to one event count forever?

No. A non-member who registers for or buys a ticket to an event counts as a billable contact for 12 months, then drops off. Running public events for years doesn’t slowly push you up a tier. Someone who buys several seats on one order counts once - that’s one contact, not five - and anyone who is already a member is never counted twice.

How does the newsletter multiplier work?

Every tier includes newsletter-only subscribers up to 3× your member count at no extra cost. So a 200-member org gets up to 600 newsletter-only subscribers free. If your newsletter list grows beyond 3× your member count, only the subscribers above the cap count toward your tier. Your newsletter list never forces a tier upgrade as long as it stays in proportion to your membership.

How do I know which tier is right for me?

Count your memberships plus any event attendees from the last 12 months - counting each household membership once, however many people it covers. Newsletter-only subscribers up to 3× your member count don’t count. Under 250 billable contacts? Starter. Under 500? Growth. Under 1,000? Professional. Every feature is included at every tier, so the only question is your billable contact count. A community of 90 families is 90 billable contacts, not 300.

Can I change tiers later?

Yes. Upgrade or downgrade anytime from your dashboard. Changes take effect on your next billing cycle. No penalties, no long-term contracts.

Do you help with migration from Wild Apricot?

Accepted Answer

Yes. We handle the migration for you - member data, payment history, everything that matters. Most organizations are fully operational within five business days. You keep Wild Apricot running in parallel until you’re confident in the switch.

Is there an annual billing option?

Accepted Answer

Not yet. We keep billing simple with monthly plans and no long-term contracts. If annual billing would make your treasurer’s life easier, let us know - it’s on our list.

What if my organization has more than 1,000 billable contacts?

Accepted Answer

Enterprise starts at $299/month. Book a call or reach out through our contact page and we’ll set the exact figure against your organization’s size and needs. The platform handles larger organizations - the 1,000 billable-contact limit is a pricing boundary, not a technical one. Remember that billable contacts is the post-multiplier number: newsletter-only subscribers up to 3× your members don’t count, so your list can be significantly larger than 1,000 total contacts before you cross into Enterprise territory.
